The Documents page is accessed through the Documents button on the Application page and Decision Application page, or by right-clicking an application on your Home page and selecting Download Documents from the menu that displays.
Page Details
The Documents page may contain a number of documents, both pre- and post-decision, organized into three sections:
Application Documents: Documents pertaining to the Application page are listed within this section. To download an application document, right click on the document's description and select Download [Document Title]. A dialog will display, prompting you to decide whether to open the document or save it to a location on your computer.
Note for Baker Hill Bank2Business applications: The risk-based terms notice letter should be printed only after the application has been submitted to avoid errors and to ensure that the proper credit reporting agency information is included in the notice.
Note for Baker Hill Bank2Consumer applications: If you don't want to issue the risk-based terms notice as a supplemental document, you have the option to place the notice directly on the Bank2Consumer credit application. Contact Baker Hill Product Support for more information.
Decision Documents: Documents pertaining to the decision process are listed within this section. To download a decision document, right click on the document's description and select Download [Document Title]. A dialog will display, prompting you to decide whether to open the document or save it to a location on your computer.
Note: Decision documents are historical, meaning that they aren't deleted even when no longer applicable. For example, if an application is redecisioned and changes from approved to declined, you will have both the original approval document as well as the current decline document.
Attachment Details: The Attachment feature allows you to attach files to applications at any task in the application process. A dialog will display, prompting you to decide whether to open the document or save it to a location on your computer.
For details on the Attachments feature, see the Attachments section.
Note for Bank2Business applications: The letters will be addressed to the Principals/Guarantors who were selected to receive letters on the Application page. See Small Business Application Page for more details.
Predefined Documents
Application and Decision documents can be predefined by your System Administrator or defined by Baker Hill Product Support. Your System Administrator controls on a per-product basis whether a predefined document appears on the Documents page prior to decisioning, after decisioning, or both, and also which section of the Documents page it will appear (Application or Decision).
Attachments
The Attachment feature allows you to attach files to applications in any task of the application process from the Documents page.
Adding an Attachment
Follow these steps to add an attachment to an application:
Click the "new" (document) icon on the Attachment section title bar to bring up the Attachment fields.
Fill in the Name and Description.
Click the Browse button; using the Choose File dialog, navigate to the file that you want to attach to this application and click Open.
The filename will appear in the File field (below the Browse button).
Click the Save button on the Documents page.
You then see a confirmation message. If you want to add more attachments to this application, click Cancel to keep the Documents page open. Otherwise, click OK to return to the application page to which you’ve added the attachment(s).
Note: For best results, the file that you upload to should be the final version with no foreseeable need for future edits. If edits are necessary, see Editing and Deleting.
Viewing (Downloading) an Attachment
When files are attached to an application, the Attachments section title bar lists the number of files in parentheses. For instance, Attachment (3) indicates that this application has three attached files.
Note: To open an attachment, your computer must have software that supports the file type (for example, you will not be able to open a word processor file attachment unless you have the appropriate word processor installed on your computer).
Follow these steps to view (download) an attachment from the Documents page:
Expand the Attachment section.
From the expanded Attachment section, click the disk icon. A standard File Download dialog displays.
Click the Open file from current location option.
The file opens in its corresponding software application.
When finished viewing, close out of the file. You will be returned to the Documents page.
Note: If you make any changes while viewing the file in this way, your changes will not be saved to the file saved in the Documents page. For information on editing an attachment, see Editing and Deleting.
Editing and Deleting an Attachment
For best results, Client Support recommends that a file be a final version with no foreseeable need for future edits when it is uploaded as an attachment.
If the application is currently in the Completed state, and the logged in user has the “Allowed to modify all content” extended permission, then the delete icon will be available for the existing attachments on the application, and the name and description fields and attached file for those existing entries can still be edited.
If the application is currently in the Completed state, and the logged in user does NOT have Modify All rights, then the delete icon will be hidden and none of the information about the existing attachments will be editable.
If the application is currently in any other task besides Completed, then the user's extended permissions will not be checked, and the delete and editing capabilities will be available for all existing attachments.
Although you cannot edit an existing attachment, you can replace the attachment with an updated version of the file. To do so:
Click the Documents button that is visible on the bottom of any page of the application. The Documents screen displays.
Expand the Attachment section, and then expand the Attachment Details of the attachment you want to edit.
From the expanded Attachment Details, click the disk icon.
A standard File Download dialog displays. Click the Save this file to disk option, and browse to a location to save the file.
Open the file from its corresponding software and perform your edits. (Note that you are making changes to the version of the file you saved to your computer, not the version that's saved in Documents.)
Save your changes.
On the Documents page, open the Attachment Details section of the attachment you want to replace (the same Attachment Details section you opened in Step 2).
Click the browse button and navigate to the file you have just edited (for details on adding attachments, see Adding). Click Open.
Note: You are replacing the existing attachment with your new edited version.
Click the Save button on the Documents page.
The current task status of the application and the extended permissions of the user viewing the page affect the user's ability to delete the attachments on the application in these ways:
Follow these steps to delete an attachment:
Click the Documents button that is visible on the bottom of any page of the application. The Documents page appears.
Expand the Attachment section, and then the Attachment Details section of the attachment you want to delete.
From the expanded Attachment Details, click the delete (X) icon.
You will be prompted to verify that you want the attachment deleted. Select OK.
The file is now deleted from the application's attachments.
